Student selection, enrolment & induction

Purpose

This procedure describes the processes whereby Gryphon Learning selects, enrols and inducts trainees and students.

Scope

This procedure applies to all students and trainees seeking enrolment in and/or those enrolled in courses within Gryphon Learning's scope of registration.

Responsible Parties

The Training Manager is responsible for the control and implementation of this procedure.

Definitions

Student handbook: the student handbook is an on-line document available to all prospective students prior to completing their application for enrolment with Gryphon Learning. The handbook provides accurate, relevant and up-to-date information to trainees and includes, but is not limited to:

  • copy of code of practice
  • scope of registration
  • competencies to be achieved during training
  • credential/statement of attainment to be issued on completion/partial completion of the course
  • assessment procedures
  • arrangements for RPL
  • trainee support services
  • application process and selection criteria
  • fees and cost involved in undertaking training
  • fee refund policy

Student orientation/induction: This process is undertaken on the first day of attendance at a class or the first visit to an employee in the workplace if the training takes place solely in the workplace.

The selection of apprentices/trainees or other employees by an employer is beyond the control of Gryphon Learning employees or contractors. However, any issues of concern with respect to the employment process are to be raised with the employer.

To comply with all relevant laws and legislation on:

  • occupational health and safety
  • workplace harassment, victimisation and bullying
  • anti-discrimination,including equal opportunity, racial vilification, disability discrimination
  • vocational education and training
  • apprenticeship and traineeship

To assist all students/trainees to achieve their maximum potential in their chosen area of study/vocation.

To identify gaps in underpinning skills and knowledge required for the successful completion of a course and where possible, provide assistance in filling those gaps or provide advice on where extra assistance may be obtained.

Procedures

 

 

Trainee/student information

All potential students are to be given access to a copy of the student handbook prior to completing their enrolment form.

All enrolled students are to be given an orientation/induction session during their first attendance at class, or on the occasion of the first workplace visit by Gryphon Learning trainer/assessor for workplace based training.

In order for the electronic enrolment to be accepted, students/trainees are must indicate acknowledgement that they have read the handbook and understand all items on the electronic enrolment form .

 

Selection of applicants for enrolment

Where there is a limit to the number of places that are available for selection by potential clients, the following selection process will apply:

  • Only applicants who meet the requirements for course entry as set out in the training package or accredited course will be accepted.
  • Where applicants do not have the prerequisite requirements for course entry they may be offered an alternative course more appropriate to their skill level, or will be advised of other training providers who could assist them in gaining the prerequisite skills.
  • Where there are more applicants meeting course entry requirements than there are available places, applicants will be accepted on a 'first come, first served' basis. Persons not accepted on this basis will be placed, in order, on a waiting list in case one or more persons accepted into the program subsequently withdraw.
