Purpose

To describe the policies and procedures for the issuing of certificates and qualifications by Gryphon Learning.

This policy applies to all staff and clients of Gryphon Learning.

Definitions

A statement of attainment is a document issued under the authority of the VQA listing nationally recognised units of competency in which a student has demonstrated competency.

A qualification is a document issued under the authority of the VQA stating that a student has been awarded a qualification.

An academic transcript is a document issued by Gryphon Learning listing the results of assessments for all courses and units of competency in which the student has ever been enrolled in through Gryphon Learning.

A certificate of achievement is a document issued by Gryphon Learning describing a level of performance attained by a student for a particular course.

A certificate of completion is a document issued by Gryphon Learning stating that a student has satisfied a set of requirements for participating in a course.

Compliance reports are a set of on-demand reports issued by Gryphon Learning via its Learning Management System to the Training Officer of a client organisation, giving the information required by ASIC (Australian Securities Investments and Commission) to demonstrate compliance with Policy Statements 146 and 164.

The ASX report is an on-demand report issued by Gryphon Learning via its Learning Management System to the Training Officer of a client organisation, giving the information required by the ASX regarding the continuing professional development of Responsible Executives as required under the ASX Business Rules.

Personal Study Reports are a set of on-demand reports issued by Gryphon Learning via its Learning Management System students to enrolled in certain courses giving details of learning undertaken and results of assessments.

CPD Training Certificates designated Unconfirmed are those where the Training Officer has not yet confirmed that the CPD has been allocated to the correct financial year. This feature has been included to cater for Continuing Professional Development which spans two financial years, thus avoiding having the same CPD hours claimed twice.

Policy

  • All Certificates and Qualifications issued by Gryphon Learning other than through the Learning Management system must be signed by the Training Manager, CEO or Marketing Manager.
  • Certificates and qualifications must be issued within three weeks of a student satisfying the criteria for issue and requesting a copy.
  • Where a student has lost a copy of a certificate, a duplicate may be produced upon request, providing the regulations permit. A processing fee may be charged.
  • Once a Training Manager has "confirmed" the allocation of training to a particular financial year, this will not be altered without a signed declaration from the Training Officer concerned that an error has been made.
  • No certificate or report may be issued to anyone other than the student concerned, except with the student's permission.

Procedures

  • Once a student satisfies the requirements for issuing of a certificate, statement of attainment or qualification, the document will be generated using the approved templates, signed by the appropriate manager, and dispatched within three weeks to the student's home address recorded in the learning management system.
  • Each certificate is to be numbered and the number and other relevant details (including the date on which it is generated) entered into the relevant register.
  • Unless the certificate has been issued by the Learning Management System, a copy is to be placed in the student's files.
